Electronic signature disclosure
Also available in: Français Español Português (BR) 日本語 中文
This disclosure explains electronic signing through Shout. The sender is the person or organisation asking you to sign. Read the document and any additional instructions from the sender before deciding whether to sign.
What you agree to
Section titled “What you agree to”By selecting the electronic-signature consent checkbox and submitting your signature, you agree to sign the document electronically and intend to be bound by it. A signature you draw or adopt from a typed name is used as your electronic signature.
Your consent covers the particular document you are signing and its related signing and completed-document records, provided electronically. It does not give general consent to receive unrelated documents or all future notices electronically.
The checkbox and preparing your signature do not, by themselves, sign the document. Your signature is recorded when you submit it using the signing or form submission button.
Accessing and keeping your records
Section titled “Accessing and keeping your records”To use electronic signing and keep your copy, you need:
- A computer, tablet or phone with internet access and a current web browser with JavaScript enabled.
- Access to the email address used for signing, including any verification messages and completed-document messages.
- A browser or PDF reader that can open PDF files, and enough storage to save your copy. You also need a printer if you want to print it yourself.
Check that you can read the document before signing. The viewer lets you review its pages. Where available, View as text provides another way to read it; machine-read text from scanned pages may contain mistakes, so check the original pages if anything is unclear. If you cannot access or read the document, stop and contact the sender.
You can save or print this disclosure from your browser. When a completed copy is made available to you, use the link provided to download and keep your own copy. Contact the sender if you need the completed copy, cannot access it or need a paper copy.
Choosing not to sign electronically
Section titled “Choosing not to sign electronically”Before submitting your signature, you can leave the consent checkbox unticked, untick it, or stop the signing process. Where Decline to sign is offered, you can use it to tell the sender that you decline; an optional reason can be included.
Stopping or declining does not arrange a paper alternative. Contact the sender to ask whether another signing method or paper records are available, and about any applicable procedures or fees, before you agree to proceed.
Changing your delivery choice or contact details
Section titled “Changing your delivery choice or contact details”If you want to stop receiving further electronic records for this transaction, contact the sender using the contact details in the invitation, document or other information they provided. Identify the document and explain your request. The sender handles the request and should explain the available alternatives, when the change takes effect, and any applicable conditions, consequences or fees.
Contact the sender in the same way if your email address changes or you need to correct the address used for document delivery. Changing an address or asking to stop future electronic delivery does not itself cancel a document you have already signed. Ask the sender separately about any requested change to that document or agreement.
Read any sender-specific paper-copy, withdrawal and contact-update instructions alongside this disclosure. If those instructions are missing or unclear, ask the sender before signing.
Personal data and signing records
Section titled “Personal data and signing records”The sender controls the document and the personal data processed for signing. The completed document or certificate includes signing evidence — signer names and email addresses, IP addresses, browser information and signing times — which is available to the sender and people who receive a copy. Agreement to sign electronically does not give blanket consent to personal-data processing. See the Respondent Privacy Policy for the signing evidence we collect and how completed records and verification disclose it, and Data Retention for deletion and link expiry.
